Frequently Asked Questions

Everything to Know Before Hiring a VA

48 real questions business owners ask before bringing on a Virtual Realty Assistant — organized so you can jump straight to what matters to you.

1

Getting Started

What a VA is, and what happens when you reach out

What exactly does a virtual assistant do?

A virtual assistant handles the recurring tasks that eat up your time — admin work, email, scheduling, industry-specific tasks, and social media — remotely, so you can focus on running your business.

How do I know if my business is ready for a VA?

If you're spending hours a week on repeatable tasks like email, scheduling, or data entry instead of revenue-generating work, you're ready. Most clients start with just a handful of core tasks and expand from there.

What's the difference between a virtual assistant and an in-house employee?

A VA works remotely and is typically brought on for specific tasks or ongoing support, without the overhead of office space, equipment, or full-time benefits — while still becoming a consistent, dedicated part of your team.

How long does it take to get matched with a VA?

After your intro call, we typically introduce you to shortlisted candidates within about a week, depending on how specific your task list and schedule needs are.

Do I need to know exactly what I want a VA to do before I start?

No — during your consultation we help you map out which tasks make sense to hand off first, even if you're not sure exactly what "delegating" should look like yet.

Can I try working with a VA before committing long-term?

Yes. You'll interview your shortlisted candidates over a video call, and after your VA starts we meet again at the 14-day mark to evaluate fit and make sure things are moving in the right direction.

What happens after I fill out the initial form?

We schedule a short call to learn about your business and needs, then begin identifying VA candidates who match your industry and task list. Using the Needs Assessment form gives our team everything we need upfront, so matching to a VA is a streamlined process with faster placement.

2

Skills & Tasks

What your VA is actually capable of handling

What tasks can a virtual assistant handle for my business?

Administrative work, email management, industry-specific tasks (real estate, restaurants, general business operations, and more), and social media management. See the Services page for the full breakdown.

Can a VA manage my real estate listings and MLS updates?

Yes — our real estate-trained VAs handle pre-listing paperwork, MLS entry and updates, open house coordination, buyer/seller communication, and CRM management.

Can a VA handle my social media accounts?

Yes — content creation, post scheduling, follower engagement, and performance reporting are all part of our social media support. VAs are also trained in basic web design using Wix and WordPress if you need help maintaining your website.

Do VAs have experience with tools like DocuSign, DotLoop, or KW Command?

Our real estate VAs are trained on the platforms agents use daily, including DocuSign, DotLoop, MLS systems, and KW Command.

Can a VA manage my email inbox?

Yes — filtering spam, responding to routine inquiries, organizing your inbox, and even running email marketing campaigns are all standard VA tasks.

Can a VA help with customer service and client communication?

Yes — VAs can respond to customer inquiries, follow up with leads, and manage day-to-day client communication on your behalf.

Can a VA do bookkeeping or invoicing?

Full-service bookkeeping isn't within a VA's scope, but they can handle basic invoicing, data entry, and reporting, along with AI-supported tools that help keep your admin work organized and on track.

What industries do your VAs have experience in?

Real estate is our specialty, but we also support restaurants, general business operations, and a range of small-to-midsize business owners.

3

Cost & Contracts

Pricing, billing, and flexibility

How much does a virtual assistant cost?

A full-time VA is $1,500/month and a part-time VA is $800/month. You're invoiced on the 20th of each month. We'll walk through the details during your free consultation so you get a plan that fits your budget.

Is there a long-term contract required?

Yes — full-time VAs are on a 1-year agreement and part-time VAs are on a 6-month agreement. This gives you consistency while we go over the full terms with you during onboarding.

Are there any hidden fees?

No — pricing is discussed upfront during your consultation so you know exactly what's included before you commit.

What's included in the price?

Your VA's time, the matching and onboarding process, and ongoing support from the VRA team to make sure the relationship is working well.

Is hiring a VA cheaper than hiring in-house staff?

Yes — you avoid the overhead of office space, equipment, payroll taxes, and benefits that come with a traditional in-house hire.

Can I change my VA's hours as my needs change?

Yes — hour and scope changes can be discussed at your renewal (the end of your 1-year full-time or 6-month part-time term), or sooner if your business needs shift.

Does VA pricing change depending on my industry?

No — pricing is a flat rate regardless of industry: $1,500/month for a full-time VA (40 hrs/week) or $800/month for a part-time VA (20 hrs/week). You're paying for dedicated hours, not a per-task menu, whether you're in real estate, restaurants, or general business operations.

4

Trust & Security

Vetting, data safety, and what if it doesn't work out

How are VAs vetted and background-checked?

Every VA goes through a screening and interview process before being presented to clients, so you're only meeting candidates we'd stand behind. We also use the DISC assessment to make sure the VAs we hire are reliable, diligent, and detail-oriented, and they're held to high standards throughout training.

Will my VA have access to sensitive business or client information?

Only to what's necessary for the tasks you assign. We recommend sharing access gradually as trust builds, and using secure, revocable access methods where possible.

What if my VA doesn't work out?

Let us know and we'll work with you to find a better-fit replacement — the goal is a long-term match, not a one-and-done placement. We also check in with you after your VA's first two weeks, and again at 30, 60, and 90 days, to catch and resolve any issues early.

Are VAs trained or do I have to train them myself?

Our VAs come with baseline training in common tools and workflows, but every business is different — you'll still walk them through your specific processes during onboarding. In our training, we make sure our VAs are held accountable at every step of the process to be at work reliably and on time.

What time zone do the VAs work in?

Our VAs operate remotely, and you'll set their working schedule to fit your needs — as long as it totals 40 hours/week for a full-time VA or 20 hours/week for a part-time VA. Time zone fit is covered during your initial consultation.

How do I know my data is secure?

We recommend using shared password managers and permission-based access for any sensitive accounts, and can advise on secure ways to hand off access during onboarding. We also carry a $1 million insurance policy for added protection and peace of mind.

5

Communication & Management

How day-to-day collaboration actually works

How do I communicate with my VA day to day?

Most clients use a mix of email, messaging apps, and task management tools — whatever you already use for your team works well for your VA too.

What software or tools will I need to use to manage my VA?

Nothing new is required — VAs adapt to the tools you already use, whether that's your CRM, project management platform, or shared calendar.

Will I be managing my VA directly, or does VRA help with that?

You'll direct the day-to-day work, and our team stays available to support the relationship, troubleshoot issues, and make adjustments as needed.

What if there's a communication or culture gap?

Let us know right away — we can help coach the relationship or, if needed, find a VA whose working style is a better fit.

Can I request a different VA if the fit isn't right?

Yes — finding the right match matters more than filling the role quickly, so we'll help you find someone who fits better.

How do I track what my VA is working on?

Your VA uses time-tracking software that records their activity, and reports are sent to you along with your invoice each month. You can also opt to have your VA send Start of Day and End of Day summaries.

6

Onboarding & Training

Getting your VA up and running smoothly

What does the onboarding process look like?

Once you choose your VA, we help coordinate contracts and a structured onboarding period where you introduce them to your tools, tasks, and expectations.

Do I need to write detailed instructions for every task?

Clear instructions help early on, but you don't need exhaustive documentation — your VA will ask clarifying questions and improve with each task.

How long does it take for a VA to get up to speed?

Most clients see their VA operating independently on core tasks within the first couple of weeks, depending on task complexity.

Will my VA need access to my accounts and passwords?

Only for the specific tools relevant to their tasks — we recommend granting access gradually and using a password manager for anything sensitive.

Can I provide my own training materials?

Absolutely — if you already have SOPs, scripts, or a process guide, your VA can use them directly during onboarding.

Who handles the initial VA orientation?

VRA handles general onboarding logistics, while you walk your VA through the specifics of how your business operates.

7

Growing the Relationship

Scaling, feedback, and what comes next

Can I hire more than one VA as my business grows?

Yes — many clients start with one VA and add more as they grow into different roles like operations, marketing, or transaction coordination.

What happens if my business needs change over time?

We can help you adjust your VA's scope, hours, or responsibilities as your business evolves.

How do performance reviews or feedback work?

Regular feedback — whether informal check-ins or scheduled reviews — helps your VA improve and grow into more responsibility over time.

Can my VA take on new responsibilities over time?

Yes — as trust builds, most clients hand off increasingly higher-value tasks to their VA.

What if I want to pause or cancel VA services?

Reach out to our team and we'll walk you through the process based on your agreement terms.

Do VAs work full-time or part-time?

Both options are available — a full-time VA works 40 hours/week and a part-time VA works 20 hours/week. We'll help determine the right hours based on your task list and budget.

Can a VA work exclusively for my business, or do they support multiple clients?

This depends on the arrangement — we can discuss dedicated versus shared support options during your consultation.

Who do I contact if I have an issue with my VA?

Reach out to the VRA team directly at contact@vrealtyassistants.com or through our Contact form — we're here to help resolve issues quickly.
