Tenants message at nine at night. The contractor misses Tuesday and tells you Thursday. Rent is late on two doors and you find out when you open the bank app. A VRA virtual assistant takes the coordination layer off your plate — rentals, rehabs and deal admin — so the portfolio runs without living in your phone.
VRA was founded to give real estate investors and landlords the best virtual assistance available for tenant communication, maintenance coordination, and deal administration — with a hassle-free process from search to onboarding.
Only the top 1% of applicants make it all the way through our screening and mandatory 4-week training program — and in our most recent cohort, just 0.89% of applicants made it through training and a final evaluation. VRA virtual assistants complete instructor-led training in scheduling and database management, document preparation, e-signature workflows in dotloop and DocuSign, and customer communication before they ever touch client work. Because mastering one scheduling or CRM system means picking up another quickly, we commit to having your VA 90% proficient in the software your crews already run on within 5 business days of starting with you.
Matching starts with your free Needs Assessment — a two-minute breakdown of where you actually need help. From there, every VA is screened with a DISC Assessment and a Keller Personality Assessment for fit and fast-learning ability.
Support continues after your VA starts, with check-ins at 14, 30, 60, and 90 days. If the fit still isn't right, swap in a different VA at any point, at no extra cost — no trial window, no fine print.
Most VA agencies lock you into tiered pricing, time-boxed trial guarantees, or a generic assistant with no industry training. VRA doesn't — backed by a $1 million Errors & Omissions insurance policy for added peace of mind.
Split by how you actually make money — holding doors, turning houses, or both.
No matter your industry or the skills your VA specializes in, pricing doesn't change — no tiers, no upcharges, just one flat rate for dedicated hours, not a per-task menu.
What a VRA assistant covers across rentals, rehabs and deal admin — and what it doesn’t.
It depends which side of the business you need covered. For rentals: tenant communication triage, maintenance and vendor routing, rent roll tracking and late-payment flags, lease renewal inquiries, and monthly profit-and-loss reporting per property. For flips and rehabs: contractor bid scheduling, timeline follow-up, punch lists, and deadline tracking on closings and permits. Across both: inbox and seller-inquiry routing, calendar coordination for walkthroughs and contractor visits, comp pulls, deal data entry, and keeping the CRM current.
VRA assistants are built for the administrative and coordination side of an investing business — the rentals, the rehabs, and everything that happens after a deal is signed. Acquisitions outreach, meaning cold calling seller lists, skip tracing, probate and pre-foreclosure list building and direct mail, is a separate discipline carrying its own consumer-contact compliance exposure, so we keep our assistants’ scope on the operational work they are trained for and strongest at. If the back office is what is drowning you, that is the whole of what we do.
Yes, and this is where most landlords feel it first. A property management virtual assistant handles the tenant side that eats evenings: triaging tenant messages and routing maintenance to the right vendor, chasing the vendor until the job is closed out, tracking the rent roll and flagging late payments, fielding lease renewal inquiries, and producing a monthly P&L per property so you can see which door is actually earning. The assistant does not sign leases, set rent, or make a decision that requires a licence — that stays with you or your property manager.
The coordination layer. Scheduling contractor bids and walkthroughs, chasing the timeline when a trade slips, keeping the punch list current, tracking permit and closing deadlines, and pulling fresh comps on active acquisitions so the ARV you are working from is not three months old. VRA has experience supporting custom home builders and home inspection companies, so coordinating trades and scheduling inspections is familiar ground rather than a new skill.
We train assistants on transferable fundamentals rather than one vendor’s product, and we commit to your assistant reaching 90% proficiency in the systems you already run within 5 business days of starting with you. Some of our assistants also come to us from real estate investment firms and have worked in Podio, REsimpli and Follow Up Boss directly. Tell us what your stack is during the Needs Assessment and we will match accordingly.
Yes. Document prep, deadline tracking, title and lender document coordination, and keeping every party updated as the file moves. Assistants supporting transaction coordination can complete our Texas contract training, and Florida for deals closing there. What they do not do is give contract or legal advice, or negotiate on your behalf.
Yes. You are matched with one assistant who learns your properties, your vendors and your process, rather than a rotating pool. Matching starts with a two-minute Needs Assessment, and every assistant is screened with a DISC Assessment and a Keller Personality Assessment for fit and fast-learning ability.
Matching typically takes about a week to put candidates in front of you, and once you select your assistant they can realistically start within 24 hours. Pricing is flat: $1,500 a month for a full-time assistant (40 hours a week) or $800 a month for part-time (20 hours a week), with no hidden fees and no upcharge for industry specialization, subject to applicable agreement terms. Both run on a three-month commitment.
VRA virtual assistants provide administrative, marketing, and customer support under the direction of the client. They do not provide legal, financial, or other advice requiring professional licensure. Access and permissions are determined by you and are subject to your own security, confidentiality, and compliance procedures.
