How it works

How Hiring a Virtual Assistant Works

Two ways to begin, depending on whether you would rather do the thinking before the call or talk it through on the call. Either way you meet the assistants yourself and choose.

Who You Meet When You Hire a Virtual Assistant

A process where the next available VA is assigned to you may or may not solve the problems you are facing in your day-to-day work. But that is not how our process works.

Every VRA virtual assistant has come through screening and a mandatory four-week, instructor-led training program before they ever touch client work. In our latest intake, 1,800 applications produced 16 graduating assistants. We formally assess your needs, and then you interview the assistants matched to your business on Zoom and choose. So the interview is not a screening round — it is you choosing between people who have already cleared one. Training before placement is a deliberate choice, and it decides who pays to train your assistant.

After your assistant starts there are check-ins at 14, 30, 60 and 90 days, and if the fit is wrong you can swap at no extra cost. One client’s four check-ins, start to finish, shows what that arc looks like. Every part of this was a decision rather than an industry default; the story behind the company explains each one.

Questions About Getting Started

What the steps are, who chooses, and what happens after your assistant starts.

How long does it take to get an assistant started?

Once you select your assistant, they can start within 24 hours of selection. The steps before that are the Needs Assessment, a Zoom call to discuss what your business needs, and the interviews with the assistants we match to you.

Do I choose the assistant myself?

Yes. We match carefully selected assistants to what your Needs Assessment describes, you interview them on Zoom, and you pick the one you want. You are matched with one named assistant who learns your process, rather than a rotating pool.

What is the Needs Assessment?

A breakdown of where your business actually needs help, which is what the matching is based on. You can complete it online before the call, or skip the form and walk through it together live on the Zoom.

What happens after my assistant starts?

There are check-ins at 14, 30, 60 and 90 days. If a check-in surfaces a skill your business needs, we train your assistant in it. If the assistant is not the right match, we swap in a different one at no extra cost.

What does it cost to start?

$1,500 a month for a full-time assistant (40 hours a week) or $800 a month for a part-time assistant (20 hours a week). Flat rate, invoiced on the 20th of each month, with no setup or onboarding fee, subject to applicable agreement terms.
